Newly Hired Full-Time Employee Benefit Enrollment

Welcome to the GRCC family!  Here you will find the information you will need to enroll in your benefits. 

As a new employee you have 30 days from your date of hire to enroll in benefits. If you do not make elections during your special enrollment window your next opportunity to elect benefits will be during our annual open enrollment period. Annual open enrollment period take place mid-October through early November and changes are effective for the following plan year (beginning January 1).  Your coverage will be effective the first day of the month following the date of hire.

Health Insurance

Waiving Health Coverage

Employees Waiving Health Coverage must submit a waiver form and proof of other health insurance coverage to qualify for monthly cash in lieu payments. 

Flex Spending Accounts

Flexible Spending Mandatory Statement. In order to participate in the Dependent Care Flexible Spending Account, you will need to complete and return the Mandatory Statement for Dependent Care form once per Plan Year. Reimbursement cannot take place from the account unless this form is on the file. Please download and complete the Mandatory Statement form and email documentation to hrbenefits@grcc.edu or fax to (616) 234-3907. Please include your employee name and ID number in the subject line or fax.

HSA Contributions

Dental/Vision Reimbursement  Program

Important Notice:

You must submit your Dependent Documentation (marriage certificate, birth certificates, etc.) if you are covering any dependents on your GRCC Health, Dental and Vision plans. Your benefits enrollment will not be approved until dependent documentation is submitted. You can email documentation to hrbenefits@grcc.edu or fax to (616) 234-3907. Please include your employee name and ID number in subject line or fax.

Life Insurance

Madison National Life Insurance Basic life and AD&D is provided to each full time employee working at least 32.5 hour per week, and part-time employees working at least 20 hours per week, in the following employee groups: CEBA, APSS, Campus Police, Faculty & Meet and Confer. Please refer to your employee contract for the life insurance benefit amount. A Supplemental Life policy is available but is a FACULTY BENEFIT ONLY.

Beneficiaries

The beneficiaries you name in your Life Insurance policy are the people who will receive the money from the policy if something happens to you. Primary beneficiary is the person (or persons) who will receive the proceeds of the life insurance policy. Secondary beneficiary will not receive any of the life insurance proceeds if the primary beneficiary is still alive. 

A beneficiary can be any of the following:

  • A person or a group of people, such as a family member or multiple family members or friend
  • A Trust you’ve established
  • A charity or nonprofit organization
  • Your estate

Long Term Disability

Provided through Madison National Life. Long-Term Disability Insurance (LTD) helps replace some of your income for an extended period when you cannot work at all or can only work part-time because of a disability. LTD pays after you have met the waiting period and have exhausted all of your sick time.

  • Full time employees in the APSS, CEBA and Faculty group that have worked at the college for more than 2 years have a 90 day waiting period with a 50% benefit.
  • Full time employees in the APSS, CEBA and Faculty group who are vested as defined by MPSERS have a 60 day waiting period with 66 2/3% benefit.
  • Full time employees in the Meet and Confer and Campus Police group have a 60 day waiting period with 66 2/3% benefit.

What happens if I miss my enrollment period?

You will not be able to make changes to your benefits once your enrollment period has closed, unless you have a qualifying life event or during Open Enrollment.

GRCC Annual Open Enrollment happens in the fall, (mid-October to early November). 

During Annual Open Enrollment, you can:

  • Enroll in health insurance or change health insurance plans.
  • Add or delete eligible dependents from benefits.
  • Add or change voluntary benefits offered through AFLAC
  • Elect to participate in the Flexible Spending Account program (Health Care/ Dependent Care FSA).  If you are currently enrolled in the FSA, you must re-enroll each plan year to continue participating in the FSA program.
  • H.S.A. participants must complete a new H.S.A. payroll deduction form to contribute to the new calendar year.

Open Enrollment changes are effective on January 1st, of the following calendar year. If you miss the annual open enrollment deadline, you will need to wait until the next annual open enrollment period to enroll, unless you have a qualifying life event that makes you eligible for a special enrollment period. The IRS regulations for health insurance changes (i.e. outside of the open enrollment period) restrict any changes to our plan or coverage unless you have a “Qualified Life Event.”

HIPAA (The Health Insurance Portability and Accountability Act), allows eligible individuals to enroll in health plan coverage outside of the annual open enrollment period if they experience a Qualified Life Event. Qualifying Life Event (QLE) is a change in your situation — like getting married, having a baby, or losing other health coverage. You will have 30 days from date of event to request and submit benefit enrollment changes. You must notify Human Resources within 30 days of the life-event change. After this grace period, you will not be able to make any changes to your coverage until the next annual Open Enrollment period. PLANSOURCE Online Benefit Enrollment


Grand Rapids Community College new hire on-line benefit enrollment is on-line through PLANSOURCE (third-party enrollment administrator).

HOW DO I ENROLL IN BENEFIT? Once you have been assigned your GRCC email you will receive an email from PLANSOURCE with your login information and on-line benefit enrollment guide. Newly hired eligible employees can enroll in benefits using PLANSOURCE on-line enrollment system. Enrolling is a quick, easy process. The PLANSOURCE system can be accessed 24 hours a day, 7 days a week from any computer with internet capabilities. You are required to complete the on-line benefits enrollment in the PLANSOURCE system within the first 30 days in your benefits eligible position even if you choose to waive health coverage.
