If your documents are posted on grcc.edu only for reference, research or recordkeeping, please contact webhelp@grcc.edu as archival documents may be exempt from accessibility requirements if properly categorized.
PDFs can be designed to be accessible, particularly if the document is accessible in the original format (Word, Google Docs, etc.).
- In general, PDFs are only the best option if a document must be printed or downloaded.
- Remediating a non-accessible PDF often requires special software and expertise.
- It’s often simpler, faster, and better for the end-user to publish in a different format, such as a webpage, Google Doc or web-based form.
How to Check if Your PDF is Accessible On PC
- Download PDF Accessibility Checker (PAC) from the software center.
- Drag your PDF to PAC.
- Remediate any WCAG issues using Adobe Acrobat.
On Mac
- Open the PDF in Adobe Acrobat.
- Select All Tools, Accessibility, Check for Accessibility.
How to Convert a PDF to an Accessible Google Doc
- Upload PDF to drive.google.com
- Right click on the document and select Open in Google Docs.
- Select Extensions, Grackle Docs, Launch.
- Resolve all Grackle Docs accessibility issues.
How to Link a Google Doc to a GRCC.edu Page
- Email webhelp@grcc.edu and request Web set up a Google Drive folder for you to store Google Docs that you will link from your grcc.edu pages.
- Move that Google Doc to that Google Drive folder.
- Set Google Doc sharing settings to “Anyone with the link can view.”
- Add the link to a grcc.edu page.
How to Request a PDF be Converted to a GRCC.edu Page
- If the PDF is new to GRCC.edu, please first confirm that it should be publicly posted.
- Convert the PDF to an accessible Google doc.
- Email webhelp@grcc.edu with:
- The link to the Google doc (be sure to grant access to view).
- The page title.
- The page you’d like to be the new page’s parent.
- Web Team will review the content, create the page and notify you.
